Jewellery Shop Invoicing Software: Free Options Compared
Jewellery invoices need hallmark numbers, stone weights, making charges, and GST. Here's how to handle all of it without buying expensive specialised software.

Jewellery invoicing is not the same as invoicing a grocery shop. A kirana can get away with quantity and price. A jewellery bill needs the hallmark number, the exact gold weight, the stone details, making charges, wastage, and then GST on top of all of it, broken down correctly.
Most general billing software doesn't handle that cleanly. And the software built specifically for jewellers often costs more than a small shop can justify, especially if you're doing maybe 10 to 20 bills a day.
So what do you actually need, and where does free or low-cost software fall short?
What a Jewellery Invoice Has to Capture
Before picking any software, get clear on what every bill needs to contain. A typical gold jewellery invoice in India should show:
- Item description (ring, chain, earrings, etc.)
- Gross weight and net weight (in grams)
- Purity (22kt, 18kt, 916, 750)
- HUID number (hallmark unique ID, mandatory since April 2023 for hallmarked gold)
- Stone details if applicable, type, weight in carats, and value
- Making charges (either per gram or as a percentage)
- Wastage, if you charge it separately
- Metal rate for that day
- GST at 3% on gold value plus making charges
- Total payable amount
If you're selling silver or studded jewellery, the fields shift a bit. Silver has its own GST rate treatment, and studded pieces need each stone's details itemised properly.
A bill that skips the HUID or lumps stone value with gold value is a problem, not just for your customer, but for any inspection.
Where Generic Billing Software Breaks Down
Picture a shop in Jaipur selling 15 pieces a day, mostly 22kt gold. They switched to a popular general GST billing app and found two problems almost immediately.
First, there was no weight field. They had to type it into the description box free-form, which meant no two bills looked the same and the owner couldn't run a report on weight sold that month.
Second, the tax calculation kept going wrong. On a ₹50,000 gold item with ₹4,000 making charges, GST at 3% should apply to the full ₹54,000. Some generic apps apply it only to the selling price, others add it twice if you're not careful with how you set up item categories. One wrong setup and you're under-collecting GST for months without realising it.
Those aren't edge cases. They're the daily reality when you use software that wasn't built with jewellery in mind.
The HUID Requirement Is Not Optional
Since the Bureau of Indian Standards made HUID mandatory for hallmarked gold jewellery, every piece you sell needs its HUID printed on the invoice. This is a 6-character alphanumeric code stamped on the jewellery itself.
Some shops are still printing invoices without it. If a customer comes back with a dispute, or if BIS does a spot check, the absence of HUID on your invoice is a clear gap.
Free software that lets you add a custom field can work here, you type in the HUID manually for each item. It's not elegant, but it works. The risk with this approach is human error: a mistyped HUID, or a bill where the field gets skipped because the counter is busy.
Software that prompts you for HUID before it lets you complete the bill is better. It makes skipping impossible.
Stone Details and Why They Matter Beyond the Bill
For diamond or gemstone jewellery, the stone details on the invoice serve two purposes. One is immediate: the customer needs to know what they paid for, and the invoice is their record. The other is longer-term: if they ever want to resell, insure, or get the piece re-certified, that invoice is the reference document.
A good studded jewellery entry should capture stone type, number of pieces, total carat weight, quality grade if you're disclosing it, and the value assigned to the stone separately from the metal value.
GST treatment matters here too. For studded gold jewellery, the rate is 3% on the whole piece, but the stone value and metal value should be broken out clearly. For diamond jewellery with a GIA or IGI certificate, the certificate number on the invoice protects both you and the buyer.
Free software rarely has dedicated fields for all of this. You end up in description boxes again, which works until you need to search your records or a customer returns three years later with a question.

Making Charges and Wastage: Getting the Maths Right
Making charges can be structured a few different ways, flat per gram, percentage of gold value, or a fixed amount per piece. Wastage is usually a percentage of net weight.
The problem is that every shop does this slightly differently, and the software needs to match your structure, not the other way around. If your software forces a single making charge model and yours doesn't fit, you either spend time hacking around it or you start entering wrong numbers just to get the total right. Neither is acceptable when you're filing GST returns.
Before committing to any free tool, test it with three of your actual invoices from last month. Enter them exactly as they should appear and check whether the totals match what you calculated manually. If they don't, the software has a maths problem or a settings problem that will cost you later.
What Free Software Can Actually Handle
Free tiers of GST billing software can handle straightforward jewellery invoicing if your needs are basic: gold only, no stones, standard making charges, HUID as a manual field. You'll be working around some limitations, but it's workable.
What free software typically cannot do well:
- Automatic gold rate updates (you set the rate manually each day)
- Inventory tracking by individual piece with weight and HUID
- Customer-wise purchase history with weight records
- Repair job tracking with advance collection
- Old gold exchange calculations on the same bill
If your shop does a meaningful volume of exchange business, where a customer brings old gold and you settle the difference, that's where basic invoicing falls apart. The exchange calculation needs to show the old gold weight, purity, and value deducted from the new purchase, all on one bill. Most free tools can't handle a two-sided transaction like that cleanly.
What to Actually Look For
If you're evaluating software, ask these specific questions before signing up:
- Can I add weight (gross and net) as a dedicated field, not just in the description?
- Is there a specific HUID field that prints on the bill?
- How does it handle the 3% GST calculation on gold plus making charges combined?
- Can I customise making charge structure to match how my shop works?
- Can I record stone details with separate valuation?
- Does it handle old gold exchange on the same invoice?
If the answer to the first three is yes, you can probably make it work. The rest are nice to have depending on what your shop sells.
